1. Who We Are

KSHR Consulting LLP ("KSHR Consulting", "we", "us") is a technology-assisted recruitment firm based in India. We operate the website kshrconsulting.com and related services that connect tech talent with companies.

2. What Data We Collect

From candidates

• Name, email, phone number
• LinkedIn profile URL, GitHub URL
• Resume / CV (uploaded or linked)
• Current and expected salary, notice period, location
• Work history and skills (extracted from resume)
• Preferences shared in conversations or forms

From clients (hiring companies)

• Company name and contact details
• Name, email, and role of hiring managers
• Job requirements and salary budgets (kept confidential)

From website visitors

• Form submissions (contact, job application, hire inquiry)
• Basic analytics (page views, referrer) \u2014 no cookies used at launch

3. How We Use Your Data

• To match candidates to open roles using AI-assisted scoring
• To communicate about opportunities, interviews, and placements
• To maintain records of placements for compliance and billing
• To improve our matching accuracy over time

We do not sell your data. We do not share candidate profiles with clients without your explicit consent.

4. AI Processing

We use AI tools (OpenAI GPT-4o-mini, Anthropic Claude) to parse resumes and match candidates to roles. Resume text is sent to these APIs for processing. Both providers are bound by data processing agreements and do not train on customer data by default.

You may request to opt out of AI processing by emailing us. In that case, all matching is done manually.

5. Data Storage

Candidate and client data is stored in Airtable (US-based servers). We use industry-standard security practices including encrypted connections and access controls.

Resume files are stored as Airtable attachments and are accessible only to authorised KSHR Consulting team members.

6. Your Rights

Under DPDP Act 2023 (India) and applicable laws, you have the right to:

• Access the data we hold about you
• Correct inaccurate data
• Request deletion of your data
• Withdraw consent for processing
• Object to automated decision-making

To exercise any of these rights, email hello@kshrconsulting.com. We respond within 7 business days.

7. Data Retention

• Active candidates: retained while engaged and for 2 years after last contact
• Placed candidates: retained for 5 years (compliance, guarantee period)
• Client data: retained for duration of relationship + 5 years
• Website form submissions: retained for 1 year

8. Third-Party Services

We use the following services that may process your data:

• Airtable \u2014 CRM and data storage
• OpenAI \u2014 Resume parsing
• Anthropic \u2014 Candidate matching
• Make.com \u2014 Workflow automation
• Google Workspace \u2014 Email communication
